In today’s diverse and often remote work environments, fostering a sense of connection and understanding among team members is more crucial than ever. One innovative approach, which I learned from Zahid Abdullah at my previous company TEO International, involves using personalized introduction posters during the initial team meeting. This method not only breaks the ice but also serves as a lasting reminder of the unique backgrounds and preferences of each team member. Here’s how you can implement this engaging activity in your team.

The Template

The personalized poster is designed to be a visual and informative snapshot of each team member. It includes the following sections:

  • Photo and Name: A current photo and the full name of the person at the top of the poster help in putting a face to the name, making it easier to remember and recognize each other, especially in large teams or remote settings.

  • Role in the Team: Clearly stating each person’s role within the team helps in understanding their responsibilities and areas of expertise.

  • What Makes Me Smile: This section allows individuals to share what excites and motivates them, offering a glimpse into their personality and passions.

  • Pet Peeves: Understanding what might frustrate or annoy our colleagues can help in maintaining a harmonious work environment.

  • Hobbies: Sharing personal interests outside of work can reveal common grounds and foster personal connections among team members.

  • Preferred Communication Style: This vital section helps clarify how each person prefers to be contacted, respecting personal communication preferences.

  • Professional Journey: A brief overview of the industries and roles the person has experienced, highlighting skills and common experiences that might be relevant to the team.

The Process

Introduction of the Activity: At the start of the team meeting, the moderator surprises the participants by introducing the concept of the team poster. This element of surprise adds an engaging twist right from the beginning.

Explaining the Template: The moderator explains each section of the template, ensuring everyone understands the purpose and what details to include.

Individual Preparation: Team members are given 15-20 minutes to fill out their posters in a shared file. This short break lets everyone gather their thoughts and personalize their poster with pictures and text.

Presentation of Posters: Once completed, the team regroups, and each member presents their poster. This presentation helps put a face to the name and allows everyone to articulate their backgrounds and preferences.

Displaying the Posters: After the meeting, the posters are printed and displayed in common team areas. For remote teams, these can be shared in a digital format accessible to all. This ongoing display acts as a constant visual reminder of each team member’s traits and preferences.

Conclusion

This activity not only makes the initial meeting more interactive but also plays a crucial role in building a foundational understanding among team members. It encourages open communication and helps create a comfortable and respectful work environment. Whether your team is remote or in-person, personalized introduction posters can significantly enhance team dynamics.
